Taking a physical shop online without breaking your stock count

The storefront is the easy part of moving a shop online. The hard part is making sure the item a customer buys at 11 p.m. is still on the shelf the next morning.

An ecommerce website for retail succeeds or fails on inventory, not design. If the online shop and the till keep separate stock counts, you will sell things you no longer have, refund annoyed customers and stop trusting the site within weeks. Start with one source of truth for stock, then build the storefront on top of it.

What changes when a physical shop starts selling online?

Your catalog becomes data. In the shop, a staff member knows the blue kurta in medium is in the back room; online, it needs a SKU, a barcode, a variant for each size and color, a shipping weight and photos that match. For most retailers, cleaning product data turns out to be the real project.

Operations change too:

  • Orders arrive at night and on holidays, so someone must own picking and packing.
  • Delivery becomes your problem, including failed drop-offs and cash collection.
  • Returns come back by courier rather than over the counter.
  • Online prices must match the shelf, or you need a stated reason why they differ.

How does stock sync between a POS and an online shop work?

The website and the POS read and write one stock count, either because they are the same platform or because an integration syncs them every few minutes. Pick the pattern before you pick a theme.

PatternHow it worksSuits
Same platformShopify POS or Square runs both the till and the online storeShops willing to switch POS; the simplest omnichannel retail website
POS as masterAn existing POS such as Lightspeed or Clover pushes stock to Shopify or WooCommerce through an APIShops with an established POS and accounting setup
Middleware or ERPA sync service or ERP sits between POS, website and marketplacesSeveral branches, warehouses or marketplaces

Some locally built POS systems have no public API. Inventory integration can then mean a scheduled CSV export and import, with a small buffer (for example, showing an item as sold out online when two or fewer remain) to absorb the delay. It is not elegant, but it works if someone checks it daily.

Payments and delivery by market

For Nepal, the wallet and QR details are in our post on eSewa, Khalti and Fonepay integration. Offering cash on delivery without phone confirmation is a quick way to fill your stockroom with returned parcels.

Returns, consumer law and tax invoices

Write the returns policy before launch, because each market's law sets a floor under it. The UK's Consumer Contracts Regulations 2013 give online buyers 14 days to cancel most orders. Australian Consumer Law guarantees apply whatever your policy says, although change-of-mind refunds are optional. In the US, the FTC's mail order rule requires shipping within the time you state, or within 30 days if you state none. Nepal's Consumer Protection Act 2075 covers online sales as well.

Tax needs the same care. An online order should produce the same tax invoice as a shop sale, from the billing system your accountant already uses; in Nepal that is often IRD-approved billing software. In Australia and the UK, prices shown to consumers should include GST or VAT.

Product SEO for a retail catalog

Product pages rank when they add something the manufacturer's copy lacks: your own photos, sizing notes, what the item pairs with, and live stock status. Add Product schema with price, availability and GTIN, submit a feed to Google Merchant Center for free listings, and consider local inventory listings so nearby searchers can see an item is in stock at your shop today.

Control faceted navigation (size, color and price filters) so Google does not crawl thousands of near-duplicate URLs. If your catalog runs into the thousands, our SEO services team can handle the technical crawl work.

Launching an ecommerce website for retail in 90 days

  1. Weeks 1-3: clean the product data and choose the platform and POS pattern. Our comparison of Shopify, WooCommerce and custom builds helps here.
  2. Weeks 4-7: build the storefront, payments, delivery integration and stock sync.
  3. Weeks 8-10: test real orders end to end, including a return and a failed delivery.
  4. Weeks 11-13: launch your best-selling categories first, then add the rest.

How Meritbyte works with retailers

Meritbyte Technologies is a Nepal-based web and software development company that builds Shopify, WooCommerce and custom stores. It works with shops across Nepal and remotely with retailers in the US, UK, Canada and Australia, including Shopify-heavy markets such as Melbourne.

Expect the free scoping conversation to dig into your product data (how many SKUs, how clean, which POS), because that sets the timeline more than design does. The first milestone has a fixed price, and the store, payment accounts and ad accounts are registered to your business rather than to us. Our ecommerce development services page lists what a build includes.

Frequently asked questions

Should a retail shop use Shopify or WooCommerce?

Shopify suits shops that want a hosted platform with its own POS and fewer technical decisions. WooCommerce suits shops already on WordPress, or those needing local gateways and custom rules without monthly app fees. In Nepal, check which platform has working plugins for eSewa, Khalti and your courier before deciding, because that often settles it.

Can my existing POS sync with an online store?

Often, if it has an API or a supported connector. Lightspeed, Square and Clover all have connectors, official or third-party, for the major e-commerce platforms. Older or locally built POS software may only export files, which still works with a scheduled import and a stock buffer. Ask your POS vendor for API documentation before choosing a website platform.

How do I stop overselling online?

Use one stock count for shop and website, sync as often as your POS allows, and hold a small buffer on fast sellers so the website shows "sold out" slightly early. Reserve stock when an order is placed, not when it ships. Check the sync daily in the first month; a common error is a product created in only one system.

Does each branch need its own website?

No. One store with branch-level stock, click-and-collect by branch and a store locator is easier to rank and maintain. Separate sites split your SEO and double the admin. Individual branch pages with address, opening hours and a link to each branch's Google Business Profile are enough for local search.
